Description:

The Clerk position follows clearly detailed specific procedures in completing several clerical steps performed in a prescribed or slightly varied sequence, such as coding and filing documents in an extensive alphabetical file; could involve simple posting to individual accounts, opening mail, calculating and posting charges to departmental accounts, operating basic office equipment, computer programs, and front desk coverage.

Responsibilities:

ESSENTIAL JOB RESPONSIBILITIES WILL INCLUDE

  • Supports accounting operations by reconciling statements, paying bills, working with vendors and suppliers.
  • Maintains vendor contracts, running in-house software accounting program.  
  • Works with vendors and suppliers to ensure up-to-date contracts and proper billing.
  • Collection & Recording of Child Care Fees
  • Preparation of Deposits to Finance Department
  • Parent Fee Summary Reports
  • CACFP Food Claims
  • Attendance & Enrollment Tracking
  • Staff Payroll (calculate payroll & track sick / vacation)
  • Assists in other office duties as needed.
  • Enter the daily attendance into COPA
  • Print reports monthly as needed for Family Services Staff
  • Monthly attendance reports for the Department of Education
  • Work closely with the Family Services Staff and assist them by entering applications into COPA, or any other information related to children’s information including follow up conversations/contacts with parents as they happen through out the day.
  • Manage inventories for janitorial supplies and for office supplies.
  • Basic office help by answering phones, translating for teachers and parents, check mail daily and distribute accordingly, file documents into master binders and child files, greet parents when they come in and assist them when needed.
  • Recruiting, translating for home visits, filing, generate weekly reports enrollment.

Qualifications:

Requirements:

  • AA/BA preferred 
  • One year previous bookkeeping experience.  
  • Good working knowledge of Word and Excel.
  • 1-3 years general office assistant experience required.
  • Microsoft Office skills.
